This form is used to request information from applicants and to create a data record in applicant management.<\/p>\n<ol>\n<li>Click on <strong>Application forms<\/strong> in the left navigation bar<\/li>\n<li>Click on the green <strong>Add<\/strong> button on the right-hand side\n<ol>\n<li>Enter a name for the form in the <strong>Name<\/strong> field. E.g. &#8220;Specialist application&#8221;.<\/li>\n<li>(Optional) Describe the form. This opens the drag &amp; drop builder of the application form. As an <strong>optional step<\/strong>,<strong> individual fields<\/strong> can be added to the application form below. You can also choose from a set of predefined fields, which you will find on the right-hand side.<\/p>\n<p><em>Optional:<\/em> Add a <strong>&#8220;Driver&#8217;s license class&#8221; field<\/strong>:<\/p>\n<ol>\n<li>Unfold the <strong>menu item &#8220;New fields&#8221;<\/strong> on the right-hand side.<\/li>\n<li>Use the mouse (click &amp; hold) to drag a <strong>selection field<\/strong> into the area of the form, e.g. below &#8220;Surname&#8221; and release the field.<\/li>\n<li>Click on the <strong>&#8220;Field options&#8221; gear icon<\/strong> on the field and on <strong>Edit<\/strong>.\n<ol>\n<li>Give the field a unique name, e.g.  <strong>driverlicense<\/strong><\/li>\n<li>Give the field a name. Each status can be provided with automatic actions which, for example Send e-mails or automate other activities. This means that no confirmation of receipt or other communication will be sent.<\/p>\n<p>To create an <strong>initial automation<\/strong> in the process, define the <strong>sending of an e-mail confirmation of receipt<\/strong> when a new application is entered in the system.<\/p>\n<p>Proceed as follows:<\/p>\n<ol>\n<li>Move the mouse over the <strong>New<\/strong> status. <strong>Three dots <\/strong> appear at the top right-hand edge of the status box <strong>. <\/strong><\/li>\n<li>Click on the points and then in the <strong>Configure<\/strong> menu<\/li>\n<\/ol>\n<p>In the next step, you will see the <strong>action sequence<\/strong> that does not yet have any actions. To add an e-mail as an action, do the following:<\/p>\n<ol>\n<li>Click on the <strong>green plus<\/strong><\/li>\n<li>In the Add action menu, click on <strong>E-mail (from Jobcluster) <\/strong> <\/li>\n<li>The action is now added to the sequence, <strong>click on the action<\/strong> to open it\n<ol>\n<li>Enter the <strong>sender address<\/strong> from which the confirmation of receipt will be sent<\/li>\n<li>Enter the <strong>recipient address (To)<\/strong>. Please use the variable from the application form:\n<ol>\n<li>Click in the <strong>To field<\/strong><\/li>\n<li>Under the item Add <strong>variable parameters<\/strong>, select the <strong>application form<\/strong> and then <strong>E-mail address<\/strong><\/li>\n<\/ol>\n<\/li>\n<li><em>Optional:<\/em> Select a <strong>copy recipient<\/strong> e-mail<\/li>\n<li>Select the <strong>subject of<\/strong> the e-mail, e.g. &#8220;Thank you for your application&#8221; or you <em>can optionally<\/em> use the name of the job advertisement. Select this as a variable (see step 3.2.2.) under Process, then Tender<\/li>\n<li>Define the <strong>text<\/strong> of the e-mail, e.g. as in the screenshot below. Here you can also use the same method as in 3.2.2. to access the variables.<\/li>\n<\/ol>\n<\/li>\n<li><em>Optional: <\/em>Add further emails or other actions to the status.<\/li>\n<li>Click the <strong>Save<\/strong> button on the right-hand side. Then edit an <em>unpublished<\/em> ad or <em>copy<\/em> a published ad.
